To make sure that the Exact Online Connectors operates properly we need to collect some sensitive data. Below we described the data that this application will collect and when it gets deleted.
To make sure we can communicate with your Exact Online administration we need to store some credentials that we can use to authenticate properly. When you install the application you are asked to grant us to access your administration. This is done by filling in your personal credentials.
The data that is stored in our systems are encrypted OAuth tokens. Together with the API keys the app is able to connect with your administration. When you uninstall the app these credentials will be deleted (almost immediately). After 48 hours a second check is being performed to ensure all your data is removed from our systems.
We store the orders from Shopify in our systems to ensure no duplications are added in Exact Online. After a period of 3 months this data is deleted automatically from our systems.
These orders are sent to Exact Online as SalesOrder and/or SalesInvoice.
We store customer data (only when an order is placed) from Shopify in our systems. This is done to lookup or create a customer in Exact Online. After a period of 3 months this data is deleted automatically from our systems.
This customer data is sent to Exact Online as Account (type Customer). The unique value that is matched is the Shopify ID field. This is also mapped as code in Exact Online.
Note that no financial data of Shopify customers is stored in Exact Online, so no IBAN or creditcard numbers are stored.
Refund data from Shopify is stored in your systems. This is done to create a credit Sales Invoice in Exact Online. After a period of 3 months this data is deleted automatically from our systems.
Product data from Shopify is stored (only when an order is placed). This is done to lookup or create an Item in Exact Online (Wholesale). Product data will be deleted when the Shopify app is deleted from the store.
The unique value to match a Shopify product to an Exact Online Item is the SKU field. Please make sure that this field is always unique for each variant.
In order to provide support on the application we have to log activities to our Stackdriver logs. This is only used for troubleshooting. Logs are automatically deleted after 1 month.
When an error occurs it is shown in the admin backend of the app in Shopify. Also this data is stored in our systems for loggin purposes and to give you as merchant more insight.
